We recognize that plans can change, which is why at CollectiveHarborPlain, we strive to maintain a transparent and equitable refund policy. This document specifies the circumstances under which you may be eligible for a refund when hiring yacht charter services.
Please ensure you review the refund policy in its entirety prior to completing your booking. Your reservation for a yacht charter with CollectiveHarborPlain constitutes an agreement to these refund conditions.
Standard Cancellation and Refund Schedule
More than 72 Hours Prior to Charter
Qualifies for: Complete reimbursement minus any processing charges
Processing Duration: 5-7 business days
Processing Charge: €50 for credit card payments
Requirements: Must be formally requested via electronic mail or telephone
24-72 Hours Before Charter Commences
Qualifies for: 50% refund of the full price of the charter
Processing Duration: 7-10 business days
Processing Charge: €25 subtracted from the refund amount
Requirements: A valid reason is mandatory; administrative costs are applicable
Less than 24 Hours to Charter Start Time
Qualifies for: Refunds are not available in this time frame
Exceptions: Emergency cases may be considered for refunds
Alternative: A credit for booking another charter may be granted based on management approval
Requirements: Supporting documents must be provided for emergency cases
Weather-Related Cancellations
Our Pledge for Weather Issues
Our highest priority is your safety. Should our qualified captain deem weather conditions unsafe for yachting, we present several alternatives:
- Total Refund: A full repayment will be issued if rescheduling isn’t feasible
- Change Date: Reschedule your booking to another available day without incurring further costs
- Charter Credit: Acquire a credit which is valid for a year from the initial charter date
Procedure for Weather Evaluation
Our weather assessment protocol includes:
- Evaluation of wind speeds and directions
- Sea condition assessments, including wave heights
- Visibility and precipitation outlooks
- Maritime advisories and cautions from the Coast Guard
- Safety assessment by our professional captain
Decision Timing: The decision to cancel due to weather conditions is made at least 4 hours before the set departure time.
Medical Emergency Refunds
Emergency Conditions
Medical emergencies are unpredictable. Under these circumstances, special considerations could be made:
- Unexpected illness or injury requiring hospital admittance
- Passing of an immediate family member
- Summoned military deployment or unforeseen recall
- Mandatory jury service or legal subpoena
- Natural disasters impacting travel plans
Required Documentation
In the event of requesting an emergency refund, kindly provide:
- Official medical records or note from the hospital
- Mortal remains certificate where necessary
- Government military orders detailing the deployment
- Legal notice of court appearance or jury duty
- Public advisories or declarations of emergency
Refund Handling: Upon presentation of necessary documents, emergency refunds are processed within 3-5 business days.
Cancellations Due to Operations
Matters of Mechanical Performance
Should the chartered vessel experience irresolvable technical issues:
- Substitute Vessel: A comparable replacement vessel will be sought
- Total Refund: Should a suitable replacement not be available
- Partial Repayment: In cases where the substitute vessel is differently priced
- Concession: Additional recompense may be given for the caused inconvenience
Crew Unavailability
In the unlikely event that certified crew members are unavailable:
- Efforts will be made to arrange alternative crew
- Full repayment if the yacht cannot set sail
- Option to reschedule without added costs
Refund Handling
Method of Payment
Approved refunds are returned using the initial method of payment:
- Credit Cards: 5-7 business days for processing
- Bank Transfers: 7-10 business days for processing
- Cash/Cheques: 3-5 business days for processing

Handling for Credit Card Transactions
A €50 fee applies to cancellations initiated over 72 hours before the charter
Bank Transfer Handling
A €25 charge applies to all bank transfer refunds
Processing for International Transactions
Additional costs may be incurred for refunds involving international transfers
Voucher for Charter
Circumstances for Credit Issuance
In specific situations, credit for a future charter can replace a refund:
- Late withdrawals (under 24 hours)
- Cancellations caused by weather conditions
- Elective changes in booking dates
- Unforeseen hindrances in operations
Conditions of Credit
- Effective Period: Valid for one year starting from the date of issue
- Non-transferability: This credit cannot be passed on to others
- Worth: Equal to the full value of the charter without any processing fees
- Redemption: Applicable for any available yacht charters
- Lifespan: Not extendable past the 12-month validity
Compensation for Partial Services
Interruptions during Service
If your charter experience is cut short due to factors we can control, you have options:
- Reimbursement proportional to the unused charter duration
- Credit equivalent to the interrupted service for a future charter
- Complimentary offers or upgrades may be provided
Disruptions Caused by Guests
If the charter has to stop early because of the guests' behavior or infringement of safety rules:
- No restitution for the remainder of the time
- Full payment is still required
- Guests might be responsible for extra charges
Conflict Resolution
If you take issue with a decision regarding refunds, the following options are available:
- Appeal for a reconsideration by our management
- Present supplementary evidence or records
- Search for a resolution via consumer protection bodies
- Explore legal avenues consistent with local laws

- Your booking identification number
- Date and time of your scheduled charter

Step 3: We Assess and Proceed
We will acknowledge your petition within one day, assess it against our policy, make and inform you of the decision within two days, and carry out the approved refunds within the timeframes specified earlier.
Key Points to Note
- Refund appeals are required in written form
- Refunds are conducted in € regardless of the original payment currency used
- Purchasing travel insurance is highly recommended
- This policy may be updated, given a 30-day prior notice
- Refunds are subject to current taxes and legal stipulations
